1. Scope and our role
This Privacy Policy applies to the Kibris Benim website, public property search, accounts, workspaces, Alper AI features and connected services that link to this policy.
For account, website, security and service-administration data, Kibris Benim decides why and how the data is used and acts as the controller or equivalent responsible party. For contacts, leads, messages and other personal data a customer places in a workspace, that customer normally acts as controller and Kibris Benim processes the data on its instructions. If your data appears in a customer workspace, contact that customer first; we will assist them where required.
2. Personal data we collect
The data we collect depends on how you use the service. It may include:
- Account data, such as name, email address, password hash, language, workspace membership, role and Google sign-in identifier when you choose Google sign-in.
- Workspace content, such as listings, property media, contacts, leads, requirements, notes, appointments, messages, documents, AI instructions and activity history.
- Public-site data, such as property searches, enquiries submitted to a listing team and information a workspace chooses to publish.
- Integration data from services you connect, which may include Google Calendar details, public Google Drive files, WhatsApp or Telegram messages and account identifiers, and listing-portal records.
- Technical and usage data, such as IP address or a protected derivative used for abuse prevention, browser and device type, session information, timestamps, error data and interactions with the service.
- Communications you send to us, including support requests and feedback.
3. How and why we use data
We use personal data to provide and secure the service, create and administer accounts, support team collaboration, publish content at a workspace's direction, deliver enquiries, run selected integrations, provide AI-assisted features, communicate service and security information, prevent abuse, troubleshoot, analyse performance and comply with law.
Where applicable, our legal bases include performing our contract, taking steps at your request, our legitimate interests in operating and protecting the service, consent where required, and compliance with legal obligations. Customers are responsible for identifying a lawful basis for personal data they place in their workspace.
4. AI and automated features
When you use Alper or another AI-assisted feature, the prompts and relevant workspace context needed to answer may be sent to our configured language-model provider. Outputs may be inaccurate and should be reviewed before they are used or sent. Workspace owners choose whether messaging automation is enabled; review mode is the default.
Do not submit sensitive personal data to an AI feature unless it is necessary, lawful and permitted by your organisation. We use AI outputs to provide the requested feature and related safety, quality and abuse controls; provider handling may also be governed by the provider terms that apply to our account.
7. Retention and security
We keep personal data for as long as needed to provide the service, maintain security and audit records, comply with law, resolve disputes and enforce agreements. Retention depends on the data and feature. Some authentication records expire automatically; workspace data is generally retained while the workspace is active and then deleted, returned or de-identified according to applicable arrangements and backup cycles.
We use measures designed for the risk, including access controls, encrypted transport, password hashing, protected session tokens, workspace permissions and activity records. No online service can guarantee absolute security, so users must also protect credentials, connected accounts and exported data.
8. Your rights and choices
Depending on applicable law, including where relevant the TRNC Personal Data Protection Law No. 89/2007, T眉rkiye's Law No. 6698 or the GDPR, you may have rights to information, access, correction, deletion, restriction, objection, portability, withdrawal of consent and complaint to a competent authority. These rights are not absolute and exceptions may apply.
You can update some account information and revoke sessions in the product. For workspace-controlled data, contact the relevant workspace. For data controlled by Kibris Benim, use the official Contact channel shown on the website or the support channel in your workspace. We may verify your identity and authority before acting on a request.
9. Public listings and enquiries
A workspace can choose to publish listing information, media and its display name. Public content can be viewed, indexed, copied or shared by others. Do not publish personal or confidential information unless you have authority and a lawful reason to do so.
When you submit an enquiry about a public listing, the enquiry is delivered to the workspace responsible for that listing. That workspace handles the enquiry under its own privacy responsibilities. Kibris Benim does not verify every listing or act as the property agent in the transaction.
10. Children, changes and contact
Kibris Benim is a business service and is not directed to children under 18. Do not create an account or submit personal data if you are under 18. If we learn that a child provided data improperly, we will take appropriate steps.
We may update this policy as the service, providers or law changes. We will post the revised version and change the effective date, and will provide additional notice when required. Questions or rights requests can be sent through the official Contact channel on the website or the support channel available in your workspace.
